This notice explains how Mirafortis handles personal data when you contact us about buying or renting property in Italy, use our website or submit a consultation request through LinkedIn or Meta. It is provided under Articles 13 and 14 of Regulation (EU) 2016/679 (GDPR).

For enquiries, we receive the information you provide: name, email address, telephone number when supplied, preferred areas, purchase or rental budget, timing, search stage and messages. We also keep correspondence and consultation arrangements. Please do not put identity documents, bank details or health information in an initial enquiry form.

Information comes directly from you, including information you choose to submit through a platform form. During a property assignment, relevant property, cadastral, ownership and transaction information may also come from agencies, professionals and public registers. Additional information about processing will be provided when required for the particular assignment.

3. Why we use data and on what basis

• Responding to your request: discussing your property plans, arranging a consultation and following up on that request. The basis is steps requested by you before entering a contract (Article 6(1)(b) GDPR).
• Providing an agreed service: property search, viewings, coordination of checks and negotiations, and administration of the assignment, on the contractual basis in Article 6(1)(b).
• Legal duties: relevant accounting, tax and anti-money-laundering requirements where applicable, under Article 6(1)(c).
• Protecting the business: proportionate security measures and establishing or defending claims, based on legitimate interests under Article 6(1)(f), subject to your rights.
• Optional promotional messages: where separate consent is requested, Article 6(1)(a) applies. Submitting an enquiry is not consent to an unrelated marketing mailing list.

You choose whether to enquire. Contact information and the required form answers are necessary to process that enquiry; without them, we may be unable to respond or assess the requested service. Optional information is not a condition of service.

4. LinkedIn and Meta lead forms

If you submit a LinkedIn Lead Gen Form or a Meta lead form, the platform passes the submitted details to Mirafortis. Some fields may be prefilled from your profile; please check them before submitting. We use the answers to understand your enquiry and contact you about the consultation you requested.

The platforms also process information for their own services under their policies. See LinkedIn's Privacy Policy and Meta's Privacy Policy. Platform advertising selection is separate from our assessment of your enquiry.

5. Who may receive information?

Recipients may include authorised service providers for website hosting and forms (Tilda), email and document management (Google), customer administration and communication tools, and the platform through which you submitted your request. These services may assist with organising correspondence and preparing replies. Access should be limited to what is needed for the task.

Where needed for your requested property service, relevant information may be shared with other agencies, notaries, lawyers, surveyors, accountants and other involved professionals, or with authorities when legally required. Their roles may be those of processors or independent controllers, depending on the activity. Contact us for details of recipients relevant to your data.

6. International processing

Online services may involve processing outside the European Economic Area. Such transfers require a valid GDPR transfer basis, such as an applicable adequacy decision or appropriate safeguards, including European Commission standard contractual clauses, with supplementary measures where necessary. You may contact us to request information about the destinations and safeguards applicable to your data, and how to obtain a copy.

7. How long is information kept?

Enquiry records are kept for the time needed to handle your request and any ongoing property search or agreed follow-up. Retention depends on whether the enquiry remains active, whether an assignment results and whether records are needed for a legal duty or a specific claim. Data no longer needed for those purposes should be deleted or anonymised. Contract and statutory records are retained for the applicable legal periods. You may ask us about the retention applicable to your enquiry or request its closure.

8. Website analytics and cookies

The website uses Tilda statistics, Google Analytics, Google Ads, Meta Pixel and Yandex Metrica. Depending on the tool and settings, technical and usage data can include pages visited, device and browser information, traffic source and interaction events. These tools support site measurement and advertising attribution. Non-essential tracking requires consent where applicable. See the separate Cookie Policy. This notice does not itself give consent to tracking.

9. Your choices and rights

Subject to the conditions of the GDPR, you may request access, correction, deletion, restriction or portability of your data, and object to processing based on legitimate interests. You may object to direct marketing at any time. Where processing relies on consent, you may withdraw it without affecting the lawfulness of earlier processing.

You may also complain to the Italian supervisory authority, Garante per la protezione dei dati personali, or another competent supervisory authority. Your consultation request is reviewed by Maxim Semenov; it does not itself constitute an automated decision about eligibility for housing.

10. Updates

Changes to this notice will be published here with an updated date. Further information will be supplied if your data is to be used for a new purpose requiring it.
